Pre invoiced tasks / retainers / paid invoice <> task management

I am a coach and bill my clients in advance for a set of sessions. I have been tracking sessions as non-billable tasks, to be able to log each session and know when the client has used up their book of sessions.

That said, I don’t have a clean way to attach the session tasks to the paid invoice. I attempted this, and the task rates were added to the invoice with blank product descriptions.

Is there a clean way to manage my process in Invoice Ninja?

I have other clients that I bill in arrears monthly, and the task tracking with billable tasks works perfectly for this.

Other options may be to create unapplied payments or credits to track the client’s available funds.

I have played with applying payments some, but talk me through this.
Current workflow:

  1. I invoice a client with a single line item: product 1 hour coaching session qty: 8, cost $200, subtotal = $1600.
  2. they pay the invoice
  3. I apply the payment against the invoice.
  4. I provide and log a 1 hour coaching session. I have been logging the task as done, associated with the client, project and marking as billable (NO).

What do I do next or how do I change my workflow?
